I built a voice AI receptionist for Deluxe Med Spa Beauty, a med spa and aesthetic clinic, so callers can check availability, book a consultation, reschedule, or cancel at any hour, with every action landing in the clinic’s real Google Calendar and Airtable base.

The whole receptionist, in one call.

A caller asks about a Botox consultation, filler, or facial. The AI receptionist checks the calendar, offers real times, and books, reschedules, or cancels on the spot, before the call even ends.

Every booking, reschedule, and cancellation happens inside the clinic’s real calendar and CRM, not a demo environment, so front-desk staff sees exactly what happened on every call.

This isn’t a scripted phone tree. The AI understands what a caller needs, checks live availability, and calls the right tool to book, move, cancel, or summarize the conversation.

One phone call in, one real action out.

Every inbound call goes straight to Vapi’s voice AI agent, which understands what the caller needs and calls the matching n8n tool before replying. n8n does the real work: checking Google Calendar, creating or updating events, and logging every detail to Airtable.

Each action is its own n8n workflow, triggered by a Vapi tool call and wired directly into Google Calendar and Airtable. The workflows are kept separate on purpose, so each one is easy to maintain, debug, and expand.
